community engagement officer

Summary: The community engagement officer plans and develops community engagement activities the contribute to raising awareness about sickle cell disease in their state

Responsibilities

  • Develop, build and maintain positive relationships with organisations and individuals and other stakeholders to support the growth and sustainability of ASCA.
  • Represent ASCA to various stakeholders and uphold the associations objectives

Relationships

  • Reports to the President and executive committee
  • Liaise with all relevant committee members on increasing ASCA’s membership

Accountability

  • The patient support co-ordinator is accountable to the President and the  executive committee

General Committee Member

Summary: Committee members will participate in committee meetings and offer help and support to any tasks that need completing in the running of ASCA

Responsibilities

  • Attend meetings
  • Arrive at meetings on time
  • Respect the rules of the costitution
  • Speak clearly and listen attentively to the points on agenda items while at meetings
  • Respect other participants and maintain an open minded attitude towards others opinions
  • Undertake and complete tasks allocated
  • Represent the association with integrity at all times
  • Support all other committee members in the conduct of their responsibilities

patient support co-ordinator

Summary: The patient support co-ordinator leads and coordinates the development, delivery and evaluation of high quality support networks meeting  and gatherings of the associations members.

Responsibilities

  • Program and organise social events, support networking meeting and gatherings for the association
  • Prepare a calendar of social events that will attract the widest involvement from all members after consultation with all other committee members
  • Lead and coordinate the development, delivery and evaluation of support networks programs
  • Facilitate emotional connections to deepen engagement between ASCA and patients, caregivers and volunteers
  • Improve knowledge on healthy behaviours and quality of life for sickle cell disease patients
  • Develop and design engaging, educationally sound courses for delivery online, face to face and in the clinical field
  • Support colleagues and learners in the effective use of peer to peer support
  • Contribute to the management of online course processes and procedures

Relationships

  • Reports to the President and executive committee
  • Liaise with all relevant committee members and any person responsible for and or running any support network meetings and gathering under the ASCA umbrella

Accountability

  • The patient support co-ordinator is accountable to the President and the  executive committee

Treasurer

Summary: The treasurer ensures that the financial management and reporting system is put in place and operational so the executive committee has an accurate understanding of the financial status of ASCA at all times.

Key responsibilities include:

  • A thorough understanding of financial procedures
  • The deposit of all monies received, as soon as possible
  • Preparation of annual budgets
  • Always obtain a receipt or invoice to substantiate expenditure
  • Keep financial records of ASCA up to date
  • Preparing comprehensive financial reports for committee meetings, general meetings and as requested by the committee.
  • Creation and maintenance of financial records
  • Organisation of Annual Audit of financial records
  • Ensure that any amounts payable to the Association are collected and issuing receipts for those amounts in ASCA’s name;
  • Ensure that any amounts paid to ASCA are credited to the appropriate account of the Association, as directed by the committee
  • Ensure that any payments to be made by ASCA that have been authorised by the committee or at a general meeting are made ontime;
  • Ensure the safe custody of the Association’s financial records, financial statements and financial reports, as applicable to ASCA
  • Prepare the ASCA’s financial statements before their submission to the Association’s annual general meeting;
  • Providing any assistance required by an auditor or reviewer conducting an audit or review of ASCA’s financial statements or financial report
  • Attend to the general banking activities
  • Maintain appropriate accounts of all income and expenditure
  • Do not lend money, under any circumstance, to other Associations or individuals within ASCA
  • Do not use financial funds as a personal expense account.
  • Do not allow the association to fall into a serious and unnecessary financial position – attempt to match expenditure with income.

Relationships

  • Reports to the President and executive committee
  • Liaises with all creditors and debtors.

Accountability

  • The Treasurer is accountable to the president and executive committee.

Secretary

Summary: The role of the Secretary is primarily administrative ensuring appropriate administrative support is provided to the chairperson and executive committee

Responsibilities include:

  • Prepare and document all meetings (including date, time and location)
  • Prepare and distribute the Agenda following consultation with other committee members
  • Distribute minutes of the last meeting and ensure all committee members have the opportunity to read through them prior to their proposed adoption
  • Maintain a complete record of all activities
  • Prepare and send correspondence in accordance with the direction of the President and committee
  • Provide administrative support to the committee in ensuring all relevant association responsibilities are dealt with appropriately
  • Maintenance of the calendar of events
  • Consulting with the President regarding the business to be conducted at each committee meeting and general meeting
  • Unless another member is authorised by the committee to do so, maintaining on behalf of the Association the register of members, committee members and other persons authorised to act on behalf of ASCA and recording in the register any changes in the membership
  • Maintaining on behalf of ASCA an up-to-date copy of the constitution
  • Ensuring the safe custody of the books of ASCA, other than the financial records, financial statements and financial reports, as applicable to ASCA

At Meetings

  • Ensure the constitution, all correspondence and other relevant documents are brought meetings
  • Take Minutes – include those present, apologies for absence and all motions tabled – as accurately and specifically as possible –e.g. who tabled the motion, seconder and result of vote. Attention should be paid to where reimbursements for committee members and items of expenditure are concerned.

Between Meetings

  • Ensure the minutes of the meeting are typed and circulated to committee members and relevant others.
  • Collect and distribute, as appropriate, all mail (both post and electronic)
  • Attend to correspondence

Relationships

  • Reports to the chairperson and executive committee
  • Liaises with the President as and when required

  • The Secretary is accountable to the President and executive committee
